Privacy Policy

1. Overview
This Privacy Policy explains how Backwood Media ("we", "us", "our") collects, uses, and shares information when you use Backwood Media SPORTS (the "Service"). It applies alongside our Terms of Service. The Service is intended for users in the United States; see Section 13 if you access it from elsewhere. 2. Information we collect
Account information
When you sign up, we collect your name and email address, either directly or via Google Sign-In, through Firebase Authentication. If you register with a password, Firebase stores it in encrypted form; we never see your plaintext password.
Content you provide
Teams, seasons, tournaments, games, video links or titles/descriptions, photo gallery links, and share invitations you create are stored in our database (Cloud Firestore) so the Service can display them to you and the people you invite. If you manage a team, this may include a player's name, photo, or video, uploaded by you as described in Section 10.
Usage and activity data
We record activity needed to run the Service, such as share invitations and their status, notifications, and aggregate engagement signals (for example, video plays and photo-gallery views) so account owners can see how their footage is being watched.
Analytics
We use Google Analytics 4 to understand how the Service is used (pages viewed, general usage events). We enable IP anonymization and do not use Analytics for ad personalization.
Google user data (optional YouTube connection)
If you choose to connect a YouTube channel to upload video directly from the Service, we request limited Google OAuth scopes to upload videos and read your channel's basic details. See Section 3 below for how this data is used, stored, and how you can revoke access.
3. Google user data and YouTube API Services
Backwood Media SPORTS's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
When you connect a YouTube channel, we:
- Request only the scopes needed to upload video on your behalf and read basic information about your own channel (channel ID and title)
- Store your OAuth refresh token and channel details so we can perform uploads you initiate, without asking you to reconnect every time
- Use this access solely to provide the upload feature you requested inside the Service
- Never sell Google user data, and never use it for advertising or to train generalized AI models
- Only share Google user data with subprocessors (such as our hosting infrastructure) as needed to operate the feature, and never for any unrelated purpose
You can disconnect your YouTube channel at any time from the video upload screen, which revokes our stored token and deletes the associated connection record. You can also revoke access directly from your Google Account permissions page at any time.
4. How we use information
- To provide, maintain, and secure the Service
- To let you organize and privately share footage and photos
- To send transactional emails, such as share invitations and account notifications
- To understand aggregate usage and improve the Service
- To detect, prevent, and respond to abuse, fraud, or security issues
- To comply with legal obligations
5. Cookies and similar technologies
We use essential cookies/local storage to keep you signed in, and Google Analytics uses its own cookies to measure usage as described in Section 2. When you or someone you've invited plays an embedded video (for example, a YouTube or Vimeo link), the hosting platform may set its own cookies under its own privacy policy, separate from ours. You can control cookies through your browser settings; disabling them may affect sign-in and some features.
6. Service providers we use
We rely on the following providers to operate the Service. Each processes data under its own terms:
- Google Firebase / Google Cloud — hosting, authentication, database, and functions
- Google Analytics 4 — aggregate usage analytics
- Google APIs (YouTube Data API, Google Drive API) — optional video upload and photo gallery listing, described in Section 3
- Dropbox API — optional photo gallery listing from folders you link
- Resend — delivery of transactional emails (invites, notifications, welcome messages)
7. How we share information
We do not sell your personal information. We share information only: with the service providers listed above as needed to operate the Service; with people you explicitly invite to view your teams, games, or videos; when required by law, subpoena, or legal process; or to protect the rights, safety, or property of Backwood Media, our users, or the public.
8. Data retention and deletion
We retain account and content data while your account is active so the Service can function. If you delete your account or request deletion by emailing support@backwoodmedia.com, we will verify your request and delete or anonymize your personal data within 30 days, except where we need to retain limited records to comply with legal obligations or resolve disputes.
9. Data security
We use Firebase's access-control rules and industry-standard encryption in transit to protect data. No system is perfectly secure, and we cannot guarantee absolute security, but we work to protect your information appropriately for the sensitivity of the data involved. If we learn of a security incident affecting your personal data, we will notify affected users and any relevant authorities as required by applicable law.
10. Team rosters and minors
Many teams organized on the Service include minors as players. When a coach, parent, or team administrator uploads a player's name, photo, or video, or adds them to a roster or invite list, that administrator — not Backwood Media — decides what information to collect and is responsible for having appropriate consent to do so, as described in Section 4 of our Terms of Service. Backwood Media processes that information to provide the Service on the administrator's instructions and is not responsible for obtaining consent on their behalf.
Separately, the Service is not directed to children under 13 for the purpose of independently creating or managing their own account, and we do not knowingly allow a child under 13 to create an account without a parent's or guardian's involvement (see Section 3 of our Terms). If you believe a child under 13 has created or used an account without appropriate parental involvement, contact support@backwoodmedia.com and we will address it, including deleting the account if appropriate.
11. Your choices and rights
- Update your name and account details from your profile page
- Disconnect a connected YouTube channel at any time (see Section 3)
- Ask us to access, correct, or delete your personal data by emailing support
- Unsubscribe from non-essential emails using the link included in those emails
Depending on where you live, you may have additional rights under state privacy laws (for example, in California, Oregon, and other states) to know what personal data we hold about you, correct it, delete it, or opt out of certain uses. We honor these rights for eligible requests regardless of where you live — contact support@backwoodmedia.com to make a request. We do not sell personal information or share it for cross-context behavioral advertising.
12. Geographic scope
Backwood Media SPORTS is designed and operated for users in the United States. If you access the Service from outside the United States, you understand your information will be transferred to and processed in the United States, and you consent to that transfer. We do not currently offer a version of the Service tailored to the EU/UK General Data Protection Regulation or other non-U.S. data protection frameworks.
13. International users
Our infrastructure providers (Google Cloud / Firebase) may process and store data in the United States and other countries where they operate. By using the Service, you understand your information may be transferred to and processed in such locations.
14. Changes to this policy
We may update this Privacy Policy from time to time. Material changes will be reflected by updating the "Last updated" date above, and where appropriate, we will notify you in the app or by email.
